Audience Builder – Product Field Library
Here are the definitions for all product-related fields that are commonly sorted under your ‘Product’ folders and sub-folders. Fields used exclusively for paid data are defined towards the bottom of this article.
Activation Date – This date field tracks the date a controlled magazine record or newsletter record becomes active.
Active Version – This field tracks what version the customer is currently receiving (may be different from what they originally requested):

Audited Demo Verification Date 1yr/2yr/3yr – This is preset rollup that pulls in customer records who have an audited demographic verification date within 1 year, 2 years or 3 years
Batch Tracking Code – Unique identifier that allows us to pull the current batch (group) of records that were uploaded together from a file, webpage, etc. (e.g. OWS203301231501301922, DLR30222017112654)
Previous Batch Tracking Code – This field stores previous batch tracking codes on a customer’s product record.
BPA Type (required for all magazine records) – Record categories that are necessary for BPA audit statements. Will be automatically assigned to records based on the input. On the first page of your audience report, Classes 1 and 2 will be broken out by BPA types.

Class – These are the different categories for your magazine & paid product records. All customers can only have one class per product.
Note: newsletter and free products may have a shorter, different class list – see below
(1) Active Qualified – Records receiving the magazine and are qualified
(2) Active Non-Qualified – Records receiving the magazine that are non-qualified, typically non-qualified paid or comps
(3) Qualified Reserve – These are non-paid records that meet the qualification criteria and are waiting to be activated
(8) Soft Controlled Kills – These are issue deletes (perhaps they were too old or they can’t receive the issue for some reason (e.g. US only for print and they are outside the US))
(9) Controlled Kills – Hard deletes that can be deactivate if there are no other active products
(10) ACS Kills – Non-paid postal returns
(20) Expire Suspends – Paid records that did not renew
(21) Future Starts – Paid records that will be activated with a future issue
(22) Postal Suspends – Paid postal returns
(23) Credit Suspends – Bill me’s that did not pay
(24) Requested Suspends – Paid records that requested to stop receive the magazine/paid product
(25) Kill/Refunds – Paid kills/refund
(26) Non-Receiving Group Admin – Group admins that are not receiving the magazine
(27) Non-Receiving Earning Admin – Earning admins that are not receiving the magazine
(50) Passalong – Non-paid records a host has asked to receive the magazine (i.e. the company requested it). Typically in the from of ‘Do you have any colleagues at your location that would be interested in XYZ magazine. Address as well as company-specific demos are copied from the host.
Class (newsletters) – These are the different categories for your newsletter products (unless the newsletter is paid, then it will display the full class list for magazines). All customers can have only one class per product.
– Active – Contacts who have opted in to receiving the newsletter
– Promotional – Contacts who have been flagged to receive the newsletter by proxy (e.g. they attended an event and get the newsletter by default), but did not physically opt themselves into the product
– Suspend – Contacts who have been removed from the active list (usually because of inactivity), but their opt-in status is retained
– Inactive – Contacts who have opted out of the newsletter and/or who are global opt outs
Current Date – This is a rolling date field that groups records based on their verification date. this allows you to easily pull in customers who came onto the product 3 months ago, 6 months ago, 2 years ago, etc. This can be used instead of having a flex date range in ‘Verification Date’.
Deactivation Date – This date field tracks the date an active controlled magazine or newsletter record is deactivated
First Order Date – This date field will display when the customer subscribed to a specific product
How Addressed – This will categorize how customer labels are addressed for print magazines:
– Ind Cust by name, title, function
– Ind Cust by name only
– Title and/or function
– Company name only
– Multi-copy same address
– Single Copy Sales
– Blank
Last Issue Received – This field tracks the issue number of the most-recently-received issue. This gets populated when the final issue close process is run.
Note: The issue number is overwritten with each issue served, so only the most recent issue served to the customer will be returned.
Last Issue Sent – This field will return all records that received the designated issue and no future issues. The issue designated is the Subscribers last issue. This information should match what is displayed in the customer view in Serviced history
Nixie Count – The number of postal nixies we have on file for a customer
Payment Status – Used to determine the current status of their payment
– Paid on Invoice: Customer paid after being invoices
– Paid with Order: Customer paid at the time of their order
– Credit: Customer owes an outstanding balance on the subscription
– Grace: Customer subscription is in grace
– Free: Customer is being granted a free subscription, but isn’t necessarily qualified by the publisher
– Controlled: Customer was selected by the publisher to receive subscription for free
– Free Term: Customer was granted a paid subscription at no cost, but they have an expire date (formerly known as comp)
Promo Code – Open text field that stores the current campaign/source code that is on file for the current subscription
Previous Promo Code – Open text field that stores all previous codes that were associated with customers for the product
Renewal Count – The number of times a customer has renewed
Remaining Copies – The number of copies a customer has left before their expire/renewal date. Note: This will be the same count as their remaining issues unless this is a multi-copy order.
Remaining Issues – The number of issues a customer has left before their expire/renewal date
Requested Version – This field stores the product version the customer originally asked for:
– Print
– Digital
– Digital Only * (*Still in development. Please do not use)

Rollup Expire Date – This date field rolls up all of a record’s orders for a specific product, both active and pending, to show when the record will next expire and need to be renewed.
Source (required for all records loaded into the system) – A pre-defined list of BPA sources that define where a record comes from and categorizes it accordingly. Note: This source list cannot be edited or customized.

Verification Date – This date field will display when the customer subscribed/renewed to a specific product. It will always display the most recent date a customer came onto the product.
Verification Date 1yr/2yr/3yr – This is a preset rollup that pulls in customer records who have a verification date within 1 year, 2 years or 3 years.
Products – Paid Fields (LIVE)
These fields are specifically tied to paid products and will help you manage and query your paid data.
Remaining Copies – The number of copies a customer has left before their expire/renewal date. Note: This will be the same count as their remaining issues unless this is a multi-copy order.
Remaining Dollars – The dollar amount still left to be earned on a customer record
Remaining Issues – The number of issues a customer has left before their expire/renewal date
Rollup Expire Date – This date field rolls up all of a record’s orders for a specific product, both active and pending, to show when the record will next expire and need to be renewed.
Paid Subscription Subfields: Current Subscriptions (Default) or All Subscriptions
Amount– The amount a subscriber paid on their order
Batch#– is the unique number given to paid orders keyed manually by the paid dept
Bulk– is selecting the quantity records with the specific bulk (multiple copies) count
CC Expiration Date– pulls the records with a credit Card that expires in the queried date/ranges. Format is MMYY, where YY is the last two digital of the expired Credit card year
Credit Balance– used to query the balances of credit records
Date Entered– This date field is the date the order was entered into the database
Delivery Code– Code used to identify the method the order is delivered (provide examples)
Donor– Identifies if the record donated a subscription to another record
Donor Id– The customer ID of the Donor record who donated a subscription to another
Earned Balance– Used to query the amount of money earned for specific orders
Earned Copies– Used to query the number of copies earned for specific orders
Earned Issues- Used to query the number of issues earned for specific orders
Expected Expire– This date field is the date a record’s current active order is expected to expire. This field doesn’t include any pending orders
Fee Amount- Used to query the amount of fees paid for specific orders
Gift Notice Sent– Date when a gift notification was sent to the gift subscription recipient
Gift Sub Code– Used to query if an order is a gift or not
Grace Issues– Used to query the number of grace issues given to subscribers
Group Active Count– Used to query the number of groups active for a product
Group Admin– The customer IDs of the Group Admin records who pay for the groups’ order
Group Code– The list of group codes for all groups to be queried
Number of Installments– Numeric field that returns the number of installment payments for an order
P&H- Used to query the amount of Postage and Handling paid for specific orders
Payment Status– Used to determine the current status of their payment
- Paid on Invoice- Customer Paid after being invoiced
- Paid with Order- Customer paid at the time of their order
- Credit – Customer owes an outstanding balance on the subscription
- Grace – Customer subscription is in grace
- Free – Customer is being granted a free subscription, but isn’t necessarily qualified by the publisher
- Controlled – Customer was selected by the publisher to receive subscription for free
- Free Term – Customer was granted a paid subscription at no cost, but they have an expire date (formerly known as a comp)
Payment Type– Used to determine the order’s method of payment (Ex: cash, Credit Card, Wire Transfer)
PO Number– Used to query the PO number attached to a specific order
Premium Code – This field is used to query codes for items or offers used to entice an individual to purchase a magazine.
Premium Sent– Used to query the date a premium subscription was sent
Price Per Copy– The amount paid for each copy of the magazine
Price Per Issue– The amount paid for each issue on a subscriber’s order. (EX: A $12 subscription order with a term of 12 will have a price per issue of $1)
Promocode– field used to query specific promo codes for paid records
Receive Notices– Used to determine if a subscriber receives invoice or renewal notices
Remaining Liability– The remaining amount of money owed on an order and would be the current refund amount.
Renewal Code– Code used to show if a subscriber will receive an invoice, autorenewal notice, or no renewal notices upon expiration
Sales Channel– The sales channel used for the order
Sales Tax– Used to query the amount of Sales Tax paid for specific orders
Shipping Same as Billing Address– Used to confirm if shipping and billing addresses are the same or different for an order
SKU– Used to query SKU attached to an order
Source– Used to query the source of the Order
Start issue– used to find the issue an order started their subscription with
Status– The current status of the order, which may be any one of the following
- Active – Order is actively receiving the issues
- Pending – Order is on hold until the active order is fulfilled and expires
- Expired – Order has been fulfilled and earned all its money so it is inactive
- Canceled – Order has been ended before earning out and is inactive
- Graced – Order has been earned out, but receiving a limited number of “free” issues
Term – Used to query how many issues an order has
